A Great Start to the EMIS User Group!

We’re excited to share that our inaugural (restarted) EMIS User Group was a fantastic success! It already feels like a great space for EMIS users to come together, share best practice, and raise key issues in a collaborative environment.

These sessions will now run regularly throughout the year, and we’re pleased to announce that the next meeting is scheduled for July 17th, from 1:00–3:00 PM. Even better - Optum (Emis) will be joining us at this upcoming session, offering even more opportunities for discussion and insight. We'll also be looking at Prescription/EPS, Searches and other top tips.

Do you have any hot topics you'd like to bring to the table? We’re already carrying forward a few from this first session, but we’d love to hear more from you.

Upcoming Medical Student Intake – Training Now Available

The next intake of medical students is scheduled for Wednesday, August 6th. To support their arrival, we’ve added extra Emis Web – Clinician New Starter training courses to the Academy. These sessions are now open for booking on the Academy Portal:

Wednesday 6th August 10am - 12pm

Thursday 7th August 10am - 12pm

Helping Practices Meet Prospective Record Access Requirements

We have created a new guide which is now available to support GP practices in meeting NHS England’s contractual requirements for prospective record access.

Under the contract, practices must ensure:

  • Less than 10% of patients have access withheld due to Enhanced Review.
  • More than 90% of online accounts provide full prospective record access.

This guide is designed to help practices - especially those using EMIS Web - navigate these requirements with confidence. It includes references to ML's enhanced search tools to identify patients needing review and streamline compliance efforts.

📘 Why it matters: NHS England has started to flag to ICBs a small number of practices still not meeting these standards. This guide ensures your practice isn’t one of them.

Sending emails using SystmOne – check your settings before 1 August 2025

Microsoft is deprecating basic authentication protocols for Exchange Online. This may mean that sending emails using SystmOne will stop working from 01 August 2025 unless you change your mail account configuration. 

Most units will have an outgoing email account configured to use the SMTP server 'send.nhs.net'. If this is the case for you then no change is required, and emails will continue to send successfully using this account.

If your outgoing email account is configured to use a 'Custom SMTP service' that uses the SMTP server 'smtp.office365.com' then sending emails using this account will stop working from 01 August 2025 unless you change the configuration to use OAuth. 

To make the changes:

  1. Navigate to Setup -> Organisation Preferences -> Messaging -> Mail Accounts.
  2. Enable OAuth authentication by ticking the 'Use OAuth Authentication' checkbox located below the ‘Username’ field in the ‘Outgoing Email’ section and press the 'Sign In' button. This will launch a web browser asking you to sign into your NHSmail account and SystmOne will show an 'Authenticating with NHSmail...' dialog.  If you successfully sign in to NHSmail using the web browser then the 'Authenticating with NHSmail...' dialog in SystmOne will close and the status label will show 'Authenticated'.
  3. Use the 'Send Test Email' button to check you can successfully send an email before pressing 'Ok' on the Organisation Preferences dialog to save the changes you have made.

NHS App Test Results

New: Promote Test Results in the NHS App 

The NHS App Team have released a new addition to the NHS App promotional toolkit: a Test Results Promotional Pack designed to help you remind patients that they can view their test results directly in the NHS App—without needing to call the practice.

This time-saving, patient-friendly feature allows individuals to access results as soon as they’re added to their online GP health record. It’s a simple way to reduce phone traffic and empower patients to manage their care more independently.

Help Spread the Word

You can raise awareness of this feature by using the materials in the toolkit to:

  • Put up posters in waiting rooms
  • Display digital images on waiting room screens
  • Share messages on your practice’s social media channels
  • Add a line about test results to your phone scripts
  • Post a reminder on your website

Clinical Configuration Tip: Make Test Results Easier to Understand

To ensure patients can make sense of their test results when viewing them in the NHS App, practices should review how results are commented on within their clinical system.

If you use EMIS Web, this can be configured via Lab Links in the Workflow Manager. Adding clear, patient-friendly comments to lab results helps reduce confusion and follow-up calls, and supports better self-management.

We offer a range of training options, including in-person sessions, online courses, and one-on-one coaching, to ensure that our training is accessible and tailored to the needs of each practice.
