Emis - Email Configuration

You can set up EMIS Web to automatically send email notifications for specific events, including:

  • Appointment bookings
  • Appointment reminders
  • Appointment changes or cancellations
  • Abnormal or normal lab results

For each event type, you can create and assign custom email templates to tailor the messages sent to patients.

📍 Accessing Organisation Configuration

  1. Open EMIS Web.
  2. Click the EMIS Web menu.
  3. Navigate to Configuration, Organisation Configuration.
  4. Select the Organisation tab.
  5. In the navigation pane, choose the required organisation.
  6. Click Edit on the ribbon.

📧 Email Configuration Setup

  1. In the Edit Organisation screen, go to Email Configuration.
  2. Tick Email enabled to activate email messaging for your organisation.
  3. In the Provider name field, select Optum.
    • If using EMIS Web version lower than 9.30, select Email instead.

📅 Appointment Notifications

For each appointment-related event, do the following:

Appointment booking Set to Enabled
Booking email template Select appropriate template
Appointment reminder Set to Enabled
Reminder email template Select appropriate template
Appointment changed/cancelled Set to Enabled
Changed/Cancelled email template Select appropriate template

🧪 Lab Report Notifications

Event Action
Abnormal lab report email Set to Enabled
Abnormal lab report template Select appropriate template
Normal lab report email Set to Enabled
Normal lab report template Select appropriate template

 Final Steps

  1. Click OK to save your settings.
  2. Ensure patients have opted in to receive emails via the Notification Preferences screen (formerly Patient Messaging screen).

💡 Tips

  • If all appointment templates are turned off, but SMS/email options are on, notification previews won’t appear in appointments.
  • You can disable notifications per module, e.g., turn off appointment emails but keep lab report emails active.
